What is iPROT and how does the software work?
iPROT is software that allows you to document meetings, discussions, the dispatch of project documents and even entire projects very effectively with just a few clicks. iPROT is operated as a web application directly in the web browser. iPROT can be used wherever there is an Internet connection, i.e. even during a meeting at the customer’s premises or on a construction site. iPROT works on the basis of the so-called endless protocol method. Endless logging is a particularly effective method for documenting the content of meetings and sending project documents in a verifiable manner. Instead, the meeting points of all meetings are recorded chronologically in a structured list – each with an assignment of dates and responsibilities, if desired. The project manager or respective meeting leader therefore has complete documentation of the project events. In this way, he can monitor all tasks and deadlines in terms of positive result control or, if necessary, quickly find out about the specifications and decisions of past project meetings.
Of course, iPROT can also be used to create individual, stand-alone logs – i.e. without the endless log function, such as file notes.
What system requirements do I need for iPROT?
iPROT is operated in the web browser. iPROT works independently of the operating system, i.e. under Windows just as well as under macOS from Apple and Linux, as well as on your tablet computer or smartphone.
To use iPROT, you need an Internet connection and a current web browser (Internet Explorer version 8 or higher, Safari, Firefox, Google Chrome). A local installation on the user’s computer is not required to use iPROT.
Where does iPROT store the data entered?
All log details are stored on a central server in Germany and only the European data protection regulations apply.
Access to iPROT is encrypted. To protect your data during transmission, iPROT uses industry-standard encryption. This technology is generally known as Hypertext Transfer Protocol Secure (HTTPS).
How is the data entered in iPROT backed up?
All customer data is backed up on our servers at least once a day. In addition, all iPROT servers are continuously mirrored to increase reliability.
With the built-in search/filter function (optionally available with the iPROT-Start package), you can generate a PDF file of all the data and logs entered from one or more projects at any time and then download it locally to your computer.
If you also require a backup of your customer database for a fee, we can arrange this for you at any time.
How secure is my iPROT user account?
iPROT never saves your password in plain text. Your password is stored securely. The BCRYPT algorithm with a unique salt is used for each password or access authorization. Nevertheless, you should choose a password that cannot be easily guessed. It is best to use a combination of letters, numbers and special characters.
How does customer segmentation work at iPROT?
Each customer receives their own iPROT customer account(https://iprot.eu/customername). In addition, all your data is separated from the data of other iPROT customers in a separate customer database. We install several customer databases on one server. This means that your database can be located on the same server as the database of another iPROT customer.
We consider our customers’ data to be private and do not allow anyone else to access it unless you explicitly release the data via the authorization settings in your iPROT user administration. Further information on this can be found in the iPROT user manual under Users & Persons.
Can projects and logs created in iPROT be deleted or archived?
iPROT offers the option of archiving individual projects in the project management. These archived projects will then no longer appear in your project selection. However, the data entered will not be deleted, but will remain in your customer database. If desired, archived projects can be reactivated at any time. Simply send an e-mail to support@iprot.eu.
Logs can only be deleted as long as they have not yet been sent using the built-in sending function or as long as no follow-up log has been created (see also FAQ“How long can I edit a log?“).
What authorizations are there for users in iPROT?
The iPROT user administration distinguishes between four authorization levels:
- Users without rights: Such persons are the norm in iPROT! You can receive emails with logs, but you do not have a password and are therefore not allowed to log in to the iPROT user interface. Persons without rights are therefore project participants who are allowed to download and read protocols in PDF form, but who have no possibility to write or change protocols.
- Users with read rights: Such persons have a password and are allowed to log in to the iPROT user interface and query the iPROT database. The read rights can be restricted to individual projects or even to individual log types within a project. Within the scope of these rights, persons with read rights can search for and read meeting entries in the iPROT user interface. However, you may not make any changes.
- Users with write permissions: As above, but these persons may create new logs, write, change and delete topics and entries, create new persons, log types and chapters, send logs, etc. Again, these rights can be restricted to individual projects or log types.
- Administrators: Administrators can make changes to all projects and protocol types, define new projects and functions and give users access rights.
Depending on the iPROT version, the number of users with write and administrator rights is limited. The number of users without access rights or with read authorization is not restricted in all iPROT versions.
How long can I edit a protocol?
iPROT is audit-proof. You can therefore edit a log until you send it or start a new protocol of the same protocol type. Then takes iPROT indicates that you are finished with the previous protocol and blocks further processing. However, you can of course always use the latest (not yet sent) log, make additions or corrections, or add new ones. Create entries. This procedure is an essential characteristic of the audit-proof endless log method.
When are my entries saved in the iPROT database?
Your entries for a new meeting, a setting or a new entry are only saved when you click on the“Save” button in the respective dialog! If you forget to do this and, for example, click on another topic or another entry, your entries will be lost.
Can supplements be attached to a meeting topic in iPROT?
Yes, it is possible to add one or more attachments (photos, plans, text documents, spreadsheets, etc.) to an entry. Some browsers allow you to specify several files directly in the file selection dialog. If your browser does not offer this option (e.g. with older versions of Microsoft Internet Explorer), save the entry with the first supplement, open the entry again by double-clicking and then add the next entry. You can repeat this procedure as often as you like.
You can also use iPROT to access your Dropbox directly and attach files, photos, etc. from there to an entry in iPROT.
Can protocols in iPROT be structured into individual topic groups?
Yes, each topic can be assigned to a chapter. This makes it possible to divide the resulting report into clear chapters, e.g. general, planning, deadlines and costs. You can define any number of chapters in iPROT and specify the order in which they should appear in the log.
Is it possible to use iPROT in several browser windows/tabs at the same time?
No, only use iPROT in a browser window or tab! If you use iPROT in several windows or tabs at the same time, you risk data errors resulting from inconsistent context information of the currently active window/tab!
What happens if I have iPROT open but don't use it for a long time?
If you do not make any entries in iPROT for 24 minutes, you will be automatically logged out for security reasons. You must log in again to continue working. You can use the“Log out” button to explicitly log out if required.
