In projects, it frequently occurs that multiple users share a common project email address in addition to their individual email addresses. In principle, any number of users can be set up in iPROT with the same email address. This allows you to essentially “hide” the project team behind a project email address. However, there is one restriction that must be observed: Users who can log in (administrators and all users who have write or read permissions on a project) MUST have a unique email address. This is because the email address is used for login in iPROT.
However, iPROT offers two options that allow you to partially work around this restriction:
- In the user administration, project-specific email addresses can be defined. When you create meeting minutes for the project, the project-specific address is used as the sender address. Details can be found in the iPROT manual under User Administration.
- Alternatively, you can set a project email address in the project settings. This is useful when multiple people create meeting minutes for a project, but a common sender address should be used when sending the minutes. Details can also be found in the iPROT manual under User Administration.

In any case, it is important to note that iPROT identifies users by their respective email address. Therefore, this email address should always be unique. If you create multiple users with the same email address, you will no longer be able to assign permissions to these users, or this will lead to problems during login, as iPROT can no longer determine which access permissions should be granted to the user and will then block the user for security reasons.
