Create Contract Award Minutes – Document Procurement in Construction Projects

iPROT is versatile. The focus is on the documentation of entire projects. In addition to meeting minutes for project meetings, steering committee meetings, or client discussions, iPROT can be used to document other project content such as invoice approvals, project status, contract awards, and audits.

Following the previously published parts Drawing distribution with iPROT, Invoice verification & approval with iPROT and Project status report & project manual with iPROT, we are continuing the series with the documentation of contract awards carried out in a project: According to European procurement directives and specifically according to the Federal Procurement Act here in Austria, public clients must document their contract awards and the associated processes. However, it is not only public clients who document the execution of their awards, but also larger, institutional private-sector clients. This documentation can be done with contract award minutes in iPROT.

To do this, you create your own meeting type and call it “Contract award minutes”, for example. The individual contract award minutes can then be structured into chapters, topics, and entries according to the respective project requirements. With the distribution function integrated in iPROT, the contract award minutes can then be sent quickly and easily to the previously defined mailing list. Alternatively, just the PDF version of the contract award minutes can be downloaded via the corresponding menu command. The possible applications of iPROT are diverse and go far beyond the mere recording of meeting content. Of course, the ideas for minutes presented here are not exhaustive, and we will therefore continue to present possibilities for project documentation with iPROT. So: to be continued 😉
