iPROT on the Go – Create Meeting Minutes on Your Tablet

iPROT is ideally suited for mobile use on the go. The user interface is optimized for use on tablet computers such as the iPad from Apple, and you can create, edit, and send meeting minutes anywhere you have a sufficient internet connection, even while on the move. In this article, we have examined two application scenarios for mobile work with iPROT in detail:

Using a Tablet in a Meeting

With iPROT, you can compose meeting minutes directly during a meeting on a tablet, such as the iPad from Apple. All modern tablets have at least one of the common web browsers such as Safari, Firefox, or Chrome. And iPROT is optimized for use in all of these browsers.

Creating meeting minutes directly during a meeting on the iPad works best with an external keyboard. This allows you to use the entire screen of the tablet for iPROT, and buttons or dialog boxes are not overlaid by a software keyboard.

Ideally, as the meeting chair, you have prepared your meeting with iPROT, as described here in another blog post. You can conveniently perform this preparatory work on your computer at the office or at home and then continue editing on the go or during the meeting on the iPad.

Of course, you can also attach attachments to your meeting minutes on the iPad. Apple’s iOS11 offers a wealth of options for this, including access to external drives via WebDAV. The Dropbox interface directly integrated into iPROT can also be used for this purpose.

Notes on flipcharts or sketches on planning documents can be scanned directly during the meeting via the iPad (e.g., with ScanBot or ScannerPro) or photographed and attached to the meeting minutes.

Another advantage of this method is that you can send the meeting minutes immediately after the meeting ends using the send function integrated into iPROT to the predefined mailing list. This ensures that all participants have the meeting minutes in their email inbox immediately after the meeting ends.

Creating Inspection Minutes on the Go

With iPROT, you can create not only meeting minutes but also inspection minutes and attach the required documentation. You can record these inspection minutes directly on-site during the inspection on your tablet. Photos of defects, etc., can be easily added to an entry using the integrated capture function.

To do this, when creating the entry, click on the link Local file(s) ... and then start the photo capture function of your tablet using the camera symbol. The captured photo will then be attached to the respective entry.

Tasks for completing defects or outstanding work, for example, can be assigned to the responsible persons with iPROT, and you can enter the completion deadlines. In this way, your inspection minutes also become a task list for processing the open items identified during the inspection.

After completing the inspection, you can immediately send the inspection minutes using the send function integrated into iPROT to the previously defined mailing list—just as with meeting minutes, all participants will then have the minutes in their email inbox immediately after the inspection.
