Create Task Lists with iPROT – in 5 Steps

With iPROT, task lists can be created very quickly and with just a few clicks, and can then be filtered by person and distributed depending on the responsible project team member. All you need is iPROT’s search and filter function, and with just a few clicks you will have compiled a task list.

This is how to create your task list in just 5 steps:

  1. In iPROT, switch to Search.
  2. In the People field, enter the name of the project team member for whom the task list is to be created. If you would like to create a list for multiple project team members, simply enter several names in the field.
  3. In the selection menu on the left under Entry types, select the type Task (you may have chosen a different label for this in your settings configuration).
  4. Click the Search button if iPROT is not already displaying the search results automatically in the workspace.
  5. Done! You can now click the menu command Minutes (Preview,PDF) to save the task list as a PDF and email it to your project team member.

To ensure that only the open tasks appear in the task list, please make sure that items and entries that have already been completed are hidden. You can do this via the menu command Show completed topics & entries.

Of course, iPROT’s search/filter function offers a wide range of additional options to optimise your task list or narrow it down even further:

  • In the Tags field, you can search for the keywords you enter when creating an entry in the meeting minutes (e.g. costs, deadlines, etc.).
  • Under Meeting types, you can narrow the search for tasks within a project to a meeting type (e.g. project meeting).
  • In the Minutes selection field, you can narrow the search results down to the selected meeting minutes. If you tick the checkbox directly below at Show only topics from this meeting minutes, you will even receive only the project team member’s open tasks from exactly the meeting minutes you selected.
  • You can also define the period to which the search for open tasks should be limited using the from and to fields.
  • Finally, the Full text field also allows you to search for any text you entered in a topic title or in the text of an entry in the meeting minutes, thereby narrowing down your task list even further.
