Create a Project Participant List – Three Steps with iPROT

For a few weeks now, iPROT has offered a new feature: the list of project participants. It is only logical that you can create a list of project participants directly in iPROT, since you maintain all people involved in a project there in the meeting minutes mailing lists. In this article, we show you how to quickly and easily create a list of project participants for your project in just three steps.

Step 1 – Preparations

Select a meeting in the project for which you would like to create a list of project participants. No further preparation is required. Based on the stored data for your projects, iPROT knows which people are assigned to a project: namely, all those who, within the selected or currently active project

  • ever authored any set of minutes (regardless of meeting type), or
  • ever been listed on a mailing list for a set of minutes (including as a participant), or
  • ever been assigned responsibility for a task.

These people can then be consolidated and exported in a CSV list with a single click in the second step.

Step 2 – Export list of participants

To do so, simply click the List of participants (CSV) entry in the menu at the top right.

iPROT then creates a CSV file with the people of a project as described in Step 1. You can save this CSV file locally on your computer and then open it in spreadsheet software such as Microsoft Excel.

The CSV file contains the following data for each person, all of which corresponds to your entries in iPROT’s user administration:

In addition, for each person this CSV file also contains information on whether the person in question attended meetings in the selected project, was recorded on a meeting minutes mailing list, was responsible for tasks, or acted as the author of the meeting minutes.

Step 3 – Compile the list of project participants

In your preferred spreadsheet software, you can now compile, adapt, and format a directory of project participants according to your individual requirements using the data generated and imported in Step 2.
