iPROT Version 5.0 – Fresh design & more flexible meeting minutes

The new iPROT version 5.0 is online as of today! You can now reopen meetings minutes and manage them more flexibly – with more control over completed meeting minutes, completed entries and topics. We have also tweaked the user interface, improved iPROT here and there and fixed a few minor bugs.

Fresh design

iPROT version 5.0 comes with a slightly fresher look without losing the proven design. New menus for meeting minutes, topics and entries – recognizable by the three small dots at the top right of the respective element – provide direct access to important functions and replace the old pen and delete icon.

The column width in the iPROT workspace can now be adjusted to your own requirements using a slider. Of course, iPROT remembers your settings.

The thumbnails of images and other file attachments are now also displayed in the entries in a more modern and clearer way.

For entries, there is now a counter to the right below the text field that indicates the number of characters still available for an entry. The character limit for an entry is 9,000 characters and offers enough space for documentation. And anything that doesn’t fit into 9,000 characters needs another entry anyway 😉

New behavior of meeting minutes, topics and entries

iPROT 5.0 gives you as a user more control over the meeting minutes, topics and entries you create, without compromising the characteristic audit-proof quality. On the one hand, you can now freely set the minutes number of each minute and, on the other hand, you can also merge the two most recent minutes into one, provided that at least the most recent or both have not yet been finalized.

Finalizing a meeting minutes without sending it is now also possible on a dedicated basis and does not prevent it from being sent at a later date. And if you have clicked Finalize or Send too quickly, you can unlock the most recent minutes for editing again yourself at any time (requires administrator rights in your iPROT account). In addition, you can now continue to edit a meeting minutes that has already been created if you have already created a subsequent meeting minutes of the same meeting type.

Another particularly practical feature is that you can now adapt and change topics from completed, older meeting minutes – completely, i.e. in terms of the textual name of the topic, the chapter assignment and – as before – whether it is a one-off or continuous topic.

We have harmonized the behavior of completed entries in the iPROT web interface with the PDF export. This means that a completed entry remains visible in the web interface, but is visually displayed as completed – just like in the PDF export. The completed entries are then hidden in the subsequent meeting minutes.

All of these new functions are primarily controlled via the new three-point menu directly next to the minutes, topic or entry.

Finally, a tip: If you experience display problems with the new version 5.0, or if controls and buttons are missing, simply reload iPROT in the browser by holding down the Shift key.
