Search and filter function

In iPROT, you can search and filter all minutes created with iPROT using any combination of criteria.

You access the search function by clicking the corresponding button at the top left of the interface, directly next to the iPROT logo. You can switch back to the minutes view from the same location.

You can define the search criteria in the sidebar on the far left. The following input fields are available:

  • Full text: In this field, you can enter any text that iPROT should search your database for.
  • User: Enter one or more names of users or meeting participants that are also created in your user administration and iPROT will filter out all relevant information for a specific person.
  • Tag(s): Here you can enter a tag that you have used to tag entries as a search criterion.
  • Entry Type: Use this field to specify which entry type to search for in your iPROT database. For example, you can quickly filter for all entries marked as tasks.
  • Chapters: Here you can select an individual chapter that iPROT should display filtered for you by clicking on the desired chapter name in the selection list.
  • Meeting type: Similar to the project selection (see above), you can select all meeting types or only a specific meeting type within the project selection made.
  • Minutes: Once you have selected a meeting type, you can select a specific set of minutes from the dropdown list. iPROT will then display all topics and entries from the selected set of minutes.
  • Search From / To: These two fields allow you to limit your search results to a specific time period. Simply define a start date in the From field and an end date in the To field. iPROT will then display only topics and entries from that period, in combination with the other search and filter criteria entered.

Search criteria can also be combined. This means you can, for example, search for tasks assigned to the person “Thomas Mathoi” with the tag “Optimierung” in the project “Multifunktionscenter” across all meeting types, combined with the full-text search term “Fassade”, as illustrated in the screenshot below:

iPROT searches within the currently selected project by default. This is shown in the status bar at the top, to the right of the search button. If you want to run a cross-project search across all your projects in iPROT, enable the Search in All Projects option by checking the checkbox at the top of the sidebar. When searching across projects, you can of course search by any text, filter by one or more users, by tags or entry types (e.g. tasks), and restrict results by time period. The available search and filter options adjust accordingly.

Search results are displayed in the same way as in the minutes view. The second column shows the topics that match the entered search criteria. The project name as entered in the projects dialog is displayed next to each topic number, ensuring correct assignment of topics in a cross-project search. The third column shows the corresponding entries for each topic, just as in the minutes view.

All display options for topics and entries, including showing and hiding completed topics and entries, work in exactly the same way as in the minutes view.

Search results can also be saved as a PDF file. Once you have produced a set of search results, you can save it as a PDF using the PDF functions in the menu. Please note that completed topics and entries are only included in the PDF if you have enabled the corresponding display option.
