Creating Entries

The actual information of a topic can be found in the entries for the respective topic. Each topic can have any number of entries. Topics can also be extended by entries in further meeting minutes (follow-up meetings).

To author a new entry, first select a topic in the middle iPROT column and then click in the + New entry input field in the third column at the top right. An input mask now appears in which you can author the entry text. You have basic formatting options and can, for example, highlight text passages in bold or italics, create bulleted lists, etc. There is a counter to the right below the text field that shows you the number of characters still available for an entry. The character limit for an entry is 9,000 characters and offers enough space for documentation. And anything that doesn’t fit into 9,000 characters needs another entry anyway 😉

The entry input form also offers a number of additional input options (note that some fields are only displayed for certain entry types):

  • Tags: Each entry can be tagged with any number of keywords. Tags make it easier to search for entries later. Tag text can be freely chosen but must not contain commas. iPROT automatically suggests previously used tags for auto-completion.
  • Entry Type: There are various entry types, such as Task, Appointment, or Decision. You must select an entry type. Depending on the entry type, your entry will be displayed with a specific icon in iPROT. Entry types help with navigation in topics with many entries and make it easier to find information. Entry types can be defined in the settings.
  • Complete by: Here you enter the intended target date for the entry types Appointment and Task (these are the entry types that have a Completed date in the entry type settings).
  • Completed on: In this field, you later indicate when a task was actually completed.
  • Responsible: Here you can specify which persons are responsible for a task. For broadly formulated tasks that concern all project participants, you can also simply select the All Responsible checkbox.

By clicking on the eye symbol at the bottom left when creating a new entry, it can be marked as internal and is therefore not displayed in the PDF version of the meeting minutes, but only remains visible in the iPROT user interface for the respective author. Addenda within an internal entry are also automatically classified as internal.

CAUTION
Your inputs for a new entry are only saved when you click the Save button. If you forget to do so and select a different topic, for example, your inputs will be lost.

If you do not perform any input in iPROT for 24 minutes, you will be automatically logged out for security reasons. For this scenario, iPROT has a built-in autosave function. This function prevents any text that has already been entered but not yet saved from being lost. The entry is automatically saved by iPROT and made available again at the next login. An automatically saved entry is indicated by a corresponding colour highlight. If no entry type has been selected at the time of autosave, iPROT sets the entry type to Autosave, which you can change at a later point.
